A rule for the record

Use a schedule to make the retention period and next action explicit across a Space or folder.

02 /

Preservation takes priority

An active legal hold prevents disposal and replacement while keeping the record accessible to authorized users.

03 /

Room to recover

Scheduled Trash normally gives a 30-day restore window. Permanent cleanup is a separate stage.

A little more clarity

Good questions.
Clear answers.

Understand the process before bringing it to your team.

Does a schedule permanently delete a file immediately?

No. A schedule can flag a record for review or move it to Trash. Ordinary Trash handling gives a 30-day restore window before permanent cleanup. Holds and active deletion claims can affect handling.

How do schedules apply to existing files?

Newly filed documents follow their applicable schedule. Existing records are updated by a nightly process in batches, so large collections can take multiple runs.

What does a legal hold protect?

An active hold blocks Trash, permanent deletion, and file replacement. Hold scope matters: a location-based hold follows the selected location, while a document-specific hold stays with that document.

Which retention period should we use?

Use the period and handling approved by your organization. The 24-month example in this tour is illustrative, not a legal requirement or compliance certification.
